1. Overview & Our Commitment

toolshare ("we", "us", or "our") is committed to protecting the personal information of our users in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation in Canada.

This Privacy Policy explains what personal information we collect, how we use it, with whom we share it, and how you can exercise your rights with respect to that information. By using the Platform, you consent to the collection, use, and disclosure of your personal information as described in this Policy.

2. Information We Collect

Information you provide directly

  • •Account registration: full name, email address, and password.
  • •Profile information: profile photo, phone number, city or neighbourhood, and account type (owner, renter, or both).
  • •Listings: item title, description, condition, photos, pricing, and availability.
  • •Transactions: rental dates, pickup or delivery preference, and payment method details (processed by our payment provider — we do not store full card numbers).
  • •Communications: messages sent through the Platform's messaging system.
  • •Reviews: ratings and comments you leave for other users or listings.

Information collected automatically

  • •Device and browser information (browser type, operating system, device identifiers).
  • •Log data (IP address, pages visited, time and date of access, referring URLs).
  • •Cookies and similar tracking technologies (see Section 7).
  • •Search queries and listing interactions.

3. How We Use Your Information

We collect and use personal information only for purposes a reasonable person would consider appropriate in the circumstances, and only to the extent necessary for those purposes.

  • •To create and manage your account and authenticate your identity.
  • •To facilitate rental transactions, including matching renters with owners, processing bookings, and coordinating pickup or delivery.
  • •To process payments and send payment receipts or payout notifications.
  • •To send transactional communications (booking confirmations, rental approvals, platform notifications).
  • •To enable in-platform messaging between owners and renters.
  • •To display your public profile information (name, rating, and general location) to other users as necessary for rental activity.
  • •To investigate and prevent fraud, abuse, or unsafe behaviour on the Platform.
  • •To improve the Platform, including analysing usage patterns and fixing bugs.
  • •To comply with legal obligations and respond to lawful requests from authorities.

4. Sharing With Third Parties

We do not sell, rent, or trade your personal information to third parties for marketing purposes.

We may share your information in the following limited circumstances:

  • •With other users, as necessary to facilitate a rental (e.g., sharing your first name and rating with a prospective counterparty).
  • •With payment processors, for the purpose of processing transactions. These providers are subject to their own privacy policies and are prohibited from using your information for any other purpose.
  • •With cloud infrastructure and hosting providers who store Platform data on our behalf, bound by confidentiality obligations.
  • •With image hosting services used to store listing and profile photographs.
  • •With law enforcement, regulatory bodies, or courts when required by applicable law or legal process.
  • •In connection with a merger, acquisition, or sale of substantially all of our assets, provided the acquiring party agrees to honour this Policy.

5. Data Retention

We retain personal information for as long as your account is active or as reasonably necessary to provide the Platform's services, resolve disputes, enforce agreements, and comply with our legal obligations.

After account deletion, we may retain certain transaction records and communications for up to seven (7) years for tax, legal, and fraud-prevention purposes. Anonymised or aggregated data that cannot be used to identify you may be retained indefinitely.

You may request deletion of your account and personal data at any time (subject to the retention obligations described above) by emailing toolshareinfo@gmail.com.

6. Your Rights Under PIPEDA

Under PIPEDA and applicable provincial legislation, you have the following rights with respect to your personal information:

  • •Right of access: You may request a copy of the personal information we hold about you.
  • •Right of correction: You may request that inaccurate or incomplete information be corrected.
  • •Right to withdraw consent: You may withdraw consent to certain uses of your information at any time, subject to legal or contractual restrictions.
  • •Right to complain: You may lodge a complaint with the Office of the Privacy Commissioner of Canada (OPC) if you believe we have not handled your information in accordance with PIPEDA.

7. Cookies & Tracking Technologies

We use cookies and similar technologies (such as local storage) to maintain your login session, remember your preferences, and understand how users interact with the Platform.

  • •Essential cookies: required for the Platform to function (e.g., session authentication). These cannot be disabled.
  • •Analytics cookies: help us understand traffic patterns and improve the Platform. These may be disabled via your browser settings.

You can control or disable non-essential cookies through your browser settings. Note that disabling cookies may affect the functionality of certain features.

8. Security

We implement industry-standard technical and organisational measures to protect personal information against unauthorised access, loss, or disclosure. These include encrypted data transmission (HTTPS/TLS), hashed password storage, and access controls that limit who within our team can access user data.

No method of transmission over the internet is completely secure. While we strive to protect your personal information, we cannot guarantee absolute security. In the event of a data breach that poses a real risk of significant harm, we will notify affected users and the Office of the Privacy Commissioner of Canada as required by law.

9. Children's Privacy

The Platform is not directed at individuals under the age of 18. We do not knowingly collect personal information from minors. If you believe a minor has provided us with personal information, please contact us at toolshareinfo@gmail.com and we will delete that information promptly.
